Knowing who your customers are and what they are buying is certainly important.
This is Customer Knowledge - the process of developing a complete picture of your customers by actively gathering, organizing, and analyzing customer data.
It is also the first step to CRM or Customer Relationship Management. If you are not familiar with CRM, you may think of it as the front office counterpart to the financial and accounting systems found in the back office.
As part of a strategic plan, it can help you create Customer Loyalty and gain Customer Retention - in plain English, get them back more often and spending more with you instead of the competition.
The software has tools that will help you capture, track and use this data to your advantage. From simple note keeping to Group management form mailings and catalogues.

 ACCOUNTING AND FINANCIALS
The back office side of the software will more than meet the requirements of most accountants.
The General Ledger chart of accounts can range from the very simple to multiple-segments for entries, divisions and departments. Products, Customers and Physical locations can be assigned Segment Masks to provide greater control postings based on your business structure.
Basic Financial Reports are part of the base system and for more advanced requirements, there is an add-on Financial Statements module for the development of custom reports by defining Row and Column sets with options for Budgets and Ratios.
Accounts Payable and Accounts Receivable are both fully featured with audit trials and an onscreen update tab on most records showing date of last change.
System security by UserID and password controls access to all accounting modules and keeps out the uninitiated. Each table maintenance routine can also be locked to prevent unauthorized access.
The base software also includes a Purchase Order module. It provides for the ability to order in either your stocking item number or the Supplier catalogue number. Included are functions of receiving, returns and supplier invoice reconciliation.

 QUOTES AND ORDERS
An effective order desk requires access to a great deal of information. Our model design allows you to open multiple views of your data to see product information, inventory availability and customer pricing all at the same time as you are entering a quote or order.
From our former version of our software we have carried forward the additional items that help you manage the process of creating, accepting and filing customer orders. Specifically written for nursery orders, this includes Expected Shop Date, Pricing Effective Date, and extensive note capabilities.
Within the details of the order lines, you can vary the amount of information displayed - from the simple Product number & description up to seven lines of detail including costs, margins, picking locations and more.
Use the Contact Name, Phone Number or the Bill to Customer to re-call existing quotes. For more extensive searches, a pop up is available to run SQL style queries. Re-call the order as often as necessary to update locations, quantities or make any other changes prior to invoicing.
 INVOICING
The invoicing process is made easier by a wizard style display of Open Orders with searches by Customers, Date or Products on Orders. You can modify the order to reflect late changes or shipping variances and, at the press of a button, create an invoice. This relieves your inventory, updates the order and posts to accounting all in one step.
For combined Nursery and Retail operations, orders entered in this process can be re-called at the cash lanes for settlement.

 CUSTOMER SERVICE
The POS lane can also serve as a data collector of customers, their interests and their buying patterns.
There are many functions within the software to assist you in using this data to provide a higher level of customer service.
Use descriptions for the creation of labels and catalogues whether within the software or by exporting to other applications.
Implement Suggestive Selling by the creation of Add-On and Substitution alternatives for the items you sell.
Track customer returns and refunds, warranty claims and even supplier performance.
Create mail groups for targeted mailers by products of product lines purchased.
